AdministrationChapter 2: To get you started
Hank Dobin, Dean of the College (x8746). Dean Dobin is the Chief Academic Officer of the College. He is responsible for all of the personnel, curricular, administrative and planning issues for the College. Janet Ikeda, Associate Dean of the College (x8746). Dean Ikeda is charged primarily with overseeing student academic support issues and related policies. Elizabeth Knapp, Associate Dean of the College (x8746). Dean Knapp is responsible for overseeing various support needs for faculty, College spaces, and the academic program. The Williams School of Commerce, Economics and Politics faculty are also served by two academic deans – Dean Peppers (x8602) and Associate Dean Straughan (x8609). When seeking information about academic policies, the five deans listed above are the five undergraduate academic deans who may be of help to you. If in doubt about which dean to call with a specific question, call the Office of the Dean of the College (x8746). A complete University Directory is available online. Listings are available by name, department, and office at http://www2.wlu.edu/web/page/normal/267.html Independently designed faculty and staff homepages are also listed on the web. http://www2.wlu.edu/web/page/normal/270.html In order to take care of the many details of getting set up at W&L, your first stop should be the Personnel Office (117 W. Washington Street, next to the R.E. Lee Episcopal Church). Please ask for Kim Austin (x8921), who will give you information about paperwork necessary to acquire a University ID card, parking, access to athletic facilities, information from University Computing, and other useful details. Personnel Office Web Site
You can also have money put on the card (at the Business Office) so that you can scan it to pay for meals at the university dining locations. If you wish, you can request to be billed for funds added to your card.
In addition, look through the The News-Gazette classified ad section for more housing options as well as appliances, rentals, and other notices at http://www.thenews-gazette.com/classifieds/
After registering your vehicle you will also need to obtain a decal from the City of Lexington or from Rockbridge County. The decal is related to the City's assessment of personal property tax on automobiles (http://www.ci.lexington.va.us/commorev.htm#Personal%20Property%20Tax%20on%20Vehicles). County residents must also display a decal. The County Treasurer's office site offers some relevant information (http://www.co.rockbridge.va.us/departments/treasurer1.htm) Vehicles that do not display BOTH a valid inspection sticker, AND a city
or county decal are subject to ticketing.
Books for classes should be ordered through the University Bookstore. Near the end of each term, the Bookstore will send each professor an order form for each class. Books for classes may also be ordered on-line through the Bookstore homepage. Key contact people and general info: Bookstore Manager: William and Maureen Becker (x8913) The Bookstore exists to serve you, and when special circumstances occur, the staff will do whatever they can to make your job, your reading life, or your gift giving needs easier and more enjoyable. Textbooks: Brenda Reese & Mike Roberts (both at x8635) Textbook adoptions: It is very helpful if you turn in your adoptions on time. It is better to turn a class adoption incomplete and then add to it later than to turn in the whole adoption late. The staff will always strive to get books, even at the last minute, but when most are turned in early, they are more able to deal with the special cases that arise. The faculty member who turns in his/her adoption earliest each term wins a free book from the trade book department. When ordering, please include ISBNs for titles whenever possible. Especially when a title has more than one edition, providing the unique ISBN will help avoid errors. It is quite helpful if you come in and say “hi” before the start of a term and while you’re here check the shelves for your courses; having you look at the books on the shelf will give the staff another “check” against potential errors. Desk copies: Publishers will not allow our bookstore staff to order desk copies for faculty, but they will help with contact information for any desk copies that are needed. Law Textbooks: Dan Coffey (x8559) Trade books: All faculty (and their families) are entitled to a 10% discount on most books, including special orders, in the general bookstore. (Books in the textbook dept. are not included). Special orders often take only a day or two to come in, and there is no charge for shipping costs except in rare cases. The trade books supervisor is often able to track down out-of-print books. If you would like the bookstore to stock books you might recommend to students (either supplementary reading relating to your courses or your favorite novel), please just let the trade books supervisor know. If you are hosting a guest speaker who has written a book or books, and you would like a book table in conjunction with the speaker’s visit, please contact the trade books supervisor with as much lead time as possible (but when circumstance demand, the trade books supervisor can often get books in a day or two). Gifts / W&L Insignia Merchandise: Jackie Davis (x8057) Supplies: Lisa Howard (x8633) University Library and Reserve Policies General Information Acting University Librarian: Merrily Taylor (x8642) taylorme@wlu.edu Leyburn Library and the Science Library are open 24 hours a day when classes are in session. The collection contains approximately 500,000 volumes, 1,600 current periodical subscriptions, 50 newspaper subscriptions, and includes microfilm, videotapes, music CDs, and computer software. Leyburn Library is a depository for U.S. government publications, as are the Law Library and the VMI library. Special Collections houses rare books, manuscripts, and the W&L archives. Books are arranged by the Library of Congress classification system, periodicals are shelved alphabetically by title, and government documents are shelved by the SuDocs system. Watch the monthly campus newsletter, the Colonnade, and the Library Gateway Web site for current library news. Annie Annie, the libraries' online catalog and named for Annie Jo White, W&L librarian from 1895 to 1922, includes library materials in all locations and indicates if books are on order or if they are checked out. Annie is on the campus network and available from your office or from home. Electronic full-text resources directly available through bibliographic records in Annie include about 500 electronic books and over 1,200 electronic periodicals, including the JSTOR and Project Muse services. See: http://annie.wlu.edu Library Web Site The Leyburn Library Web Site is a series of web pages and useful links, which is accessible from the W&L homepage, and elsewhere on the World Wide Web. Some subscription services are limited to on-campus use and off-campus access through one of the campus network’s proxy services. See: http://library.wlu.edu/ Loan Period Faculty may check materials out for the academic year, although the library may recall an item for another reader after two weeks. Videos and music CDs circulate for shorter periods. Reference books, periodicals, and the materials in Special Collections do not circulate. Annie indicates the circulation status of all materials. Budget and Acquisitions The library budget is not allocated by academic department, but expenditures are reported by discipline in the annual University Fact Book. Requests for books: Send requests for book purchases to the acquisitions department via request slips, e-mail, or use the electronic form available through the Library Web Site. All requests are reviewed by the library liaison for your department (see below). We have an approval plan with a national wholesaler, which means we automatically receive weekly shipments of new books published by most of the U.S. university presses. These are shelved in the acquisitions department until the library liaisons or interested faculty determine which are to be purchased or returned. We welcome your participation. Requests for media: Send requests for media purchase or rental to Laura Turner, Technical Services Librarian. Requests for new periodical subscriptions: Because periodical and other serial subscriptions involve a long-term commitment of funds, we ask you to send a letter of justification to support each new request. Send these requests to Laura Turner, Technical Services Librarian. It is helpful to identify courses for which the title is applicable, interdisciplinary applications, and research value. Of course, articles from journals the library does not hold are also available on demand through interlibrary loan and/or various electronic services. See: http://library.wlu.edu under the services tab. Current Awareness There
are several options for maintaining a current awareness of new issues
of periodicals you are interested in. Consult with a Reference Librarian
to find out more. Department Liaisons Each librarian serves as liaison to specific academic departments. For 2003-2004 those assignments are: natural and physical sciences -- Hugh Blackmer; accounting, economics, and management -- John Tombarge; arts and humanities -- Yolanda Merrill; history -- Vaughan Stanley; politics, sociology, and journalism -- Dick Grefe; classics, philosophy, and religion (collection development only) -- Laura Turner. Liaisons are responsible for the development of the collection in assigned areas. In addition, the reference librarians provide classroom instruction and develop and maintain web pages in these areas. For more information see: http://library.wlu.edu/research/guides/default.asp Locked Studies There are 31 individual locked studies in Leyburn Library that are assigned on a term-by-term basis to students writing honors theses. You may apply in the University Librarian’s office. There are network connections in the studies on Lower Levels 2, 3, and 4. While competition is stiff during the academic year, there are always studies available during the summer months. Faculty members who require a dedicated research space in the library should contact the Dean of the College. Computing Facilities The Reference area on the Main Floor contains eight networked PCs offering access to the Web and GroupWise e-mail for W&L students and faculty. This area also includes two networked terminals dedicated to Annie use, as well as two "guest" PCs offering free access to the Web for visitors to the library. Each of the lower floors includes at least one dedicated Annie terminal. A computing lab is located on Lower Level 1, giving students (and faculty) access to the campus network, including networked Microsoft Word, Excel, and other applications. All locked study rooms on Lower Levels 2, 3, and 4 are wired for access to the campus network, and other study rooms on that floor are similarly wired. Wireless access is also available in Leyburn Library.
Faculty members who need academic regalia may make their purchase using the University purchasing procedures (i.e. via purchase order). Payments may then be deducted from your monthly paycheck to spread payment over a year. You must fill out a purchase requisition (which can be obtained from Ms. Fontanne Bostic (x8917), in University Services, or from your department’s administrative assistant – be sure to speak with Fontanne about procedures for payroll deduction). Ordering information for purchasing regalia may be found in the University Bookstore. The administrative assistant in President Ruscio’s office (x8700) has some extra caps and gowns that may be borrowed on a first-come-first-served basis.
Room assignments for courses taught by College faculty are assigned by the University Registrar, based upon requests of faculty members. Questions about room assignments, or requests for technology-equipped classrooms may be addressed to our Associate Registrar, Barbara Rowe (browe@wlu.edu). Faculty who are teaching in a non-equipped room may request mobile technology equipment by calling Flash Floyd in the Instructional Technology Lab in Leyburn Library (x 8098). Carole Bailey (x5851), the Classroom Technology Administrator, and John Blackburn (x8651), Head of the Instructional Technology Group, the may also be helpful in addressing related needs.
